How to copy and paste from Excel to Word

When working with Microsoft Office, you may need to transfer data between applications. Microsoft Word is better suited to documents that contain a lot of text, but you may need to copy some data from Excel into Word. For example, you may have a table in which calculations have been done in Excel and this needs to be inserted into a report in Word. This can be easily done using copy and paste. When pasting the document into Word, the following options are available:

1. Keep source formatting (default) – retains the formatting of the source data
2. Use Destination Styles – this changes the data to match the formatting in Word
3. Link & Keep Source Formatting – this retains the formatting of the source data and keeps it linked to the original worksheet so that it is updated when the source data changes
4. Link & Use Destination Styles –  this changes the data to match the formatting in Word and keeps it linked to the original worksheet so that it is updated when the source data changes
5. Picture – this pastes the data as an image and the data cannot be modified
6. Keep Text Only – this removes the formatting and pastes the data as text

In this example, we will use the first option.

Step 1 – Select the cells

– Select the data to be copied

Step 2 – Copy the data

– Right-click and select Copy from the context menu or press Ctrl+C

Step 3 – Paste the data

– Go to the Word document
– Place the cursor where the data is to be inserted
– Right-click and select Keep Source Formatting from the Paste Options 
OR
Press Ctrl+V

Step 4 – Check the result

– The data is inserted as a table in Word with the same formatting as that in Excel
– The table can be modified and is not linked to the source data
